PROVINCIAL CABINET POSITIONS

PRESIDENT

  • To establish and maintain the Provincial Cabinet, as outlined in Article 4 of the NSSSA By-Laws, to carry out the objectives of the NSSSA.
  • To chair regular monthly meetings and any special meetings of the Provincial Cabinet.
  • To oversee the members of the Provincial Cabinet.
  • To serve as a member of the Conference Committee and the Inclusion Committee and to act as a liaison to the Provincial Cabinet.
  • To serve as the official spokesperson of the NSSSA.
  • To set up a nomination committee to seek qualified potential candidates for all elected positions prior to the Annual General Meeting.
  • To organize and chair the Annual General Meeting.
  • To deal with matters concerning revision, interpretation and enforcement of the NSSSA By-Laws.
  • To perform any other duties as assigned by the Provincial Cabinet.
  • To prepare a turnover package on their position before July 1st

VICE-PRESIDENT INTERNAL

  • To assist the President in establishing the Provincial Cabinet.
  • To assist the Regional Co-Premiers with the development of the regional conferences and regional activities.
  • To attend all meetings
  • To organize the turnover process through Provincial cabinet.
  • To perform any other duties assigned by the Provincial Cabinet.
  • To prepare a turnover package on their position before July 1st

VICE-PRESIDENT EXTERNAL

  • To attend all meetings
  • To assist the President in establishing the Provincial Cabinet
  • To review and update the corporate package and sponsorship information.
  • To assist the Provincial Cabinet Public Relations in establishing relationships between the NSSSA and outside organizations.
  • To prepare a turnover package on their position before July 1st

PROVINCIAL ADVISOR

  • To oversee the running Provincial Cabinet, Provincial Conference Committee and Inclusion Committee
  • To attend all meetings
  • To be responsible to Provincial Cabinet
  • To prepare a turnover package on their position before July 1st

CONFERENCE COMMITTEE CO-CHAIRS (2)

  • To establish a Provincial Conference Committee to organize the annual Provincial Student Leadership Conference.
  • To act as a liaison to the Provincial Cabinet.
  • To attend all Provincial Cabinet meetings.
  • To appoint any new members or create new positions to the Provincial Conference Committee
  • To prepare a turnover package on their position before July 1st

INCLUSION COMMITTEE CO-CHAIRS (2)

  • To establish an Inclusion Committee to organize the annual Inclusion Conference
  • To act as a liaison to the Provincial Cabinet.
  • To attend all meetings.
  • To appoint any new members or create new positions to the Inclusion Committee
  • To prepare a turnover package on their position before July 1st

REGIONAL CO-PREMIERS (2)

  • To establish a Regional Cabinet with membership from each of the secondary schools in their region.
  • To chair regular meetings of the Regional Cabinet.
  • To identify a Regional Cabinet Advisor for his/her term in office.
  • To organize an annual Regional Conference which will focus on the development of leadership skills.
  • To host and organize other student leadership initiatives within his/her region.
  • To attend all meetings.
  • To choose a Regional Events Representative for their cabinet who will assist in organizing events outside of conferences and report the Vice President.
  • To perform any other duties as assigned by the Provincial Cabinet.
  • To prepare a turnover package on their position before July 1st

SECRETARY

  • To attend all meetings
  • To inform every member of the cabinet or committee of the upcoming meeting at least two weeks prior
  • To take minutes at each committee or cabinet meeting
  • To distribute minutes before each upcoming meeting
  • To design spirit wear
  • To arrange for production of spirit wear

TREASURER

  • To draw up a budget for the year based on available and projected revenues, aided by the Executive.
  • Is responsible for all expenditures and revenues of the organization.
  • Must keep meticulous records of all financial transactions.
  • To present monthly financial updates to the Provincial Cabinet.
  • To arrange for an external audit of the organizations finances at the end of the fiscal year.
  • To attend all Provincial Cabinet meetings.
  • To perform any other duties as assigned by the Provincial Cabinet.
  • To prepare a turnover package on their position before July 1st

PUBLIC RELATIONS

  • To attend all meetings
  • To establish and maintain effective communication with the other PR in the organization
  • To promote the organization to external organizations, corporations, etc.
  • To promote the organization to schools throughout the province
  • To prepare a turnover package on their position before July 1st

 


REGIONAL CABINET/CONFERENCE COMMITTEE/INCLUSION COMMITTEE POSITIONS

HEAD OF CHAPERONES (MUST BE 19 YEARS OR OLDER)

  • To attend all meetings
  • To design and distribute a chap application form
  • To search for and select appropriate chaps for conference
  • To organize and oversee the chap retreat
  • To speak at the opening ceremonies to the full conference on the rules
  • To fully enforce the 3D’s
  • To supervise and organize the chaperones at conference
  • To prepare a turnover package on their position before July 1st

HEAD OF LOGISTICS (MUST BE 18 YEARS OR OLDER)

  • To attend all meetings
  • To design and distribute a logistics application form
  • To search for and select appropriate logistics team for conference
  • To organize and oversee the logistics retreat
  • To assist 3-tions in room assignments*** (Provincial conference only)
  • To supervise and organize the logistics team at conference
  • To prepare a turnover package on their position before July 1st

HEAD OF FIRST AID (MUST BE 19 YEARS OR OLDER)

  • To attend all meetings
  • To design and distribute a First Aid application form
  • To search for and select an appropriate logistics team for conference
  • To organize and oversee the First Aid retreat
  • To ensure that safety measures are understood and followed by conference attendees
  • To work with the logistics and chap team
  • To perform any other duties as assigned by the  Cabinet.
  • To prepare a turnover package on their position before July 1st

HEAD SCHOOL REPRESENTATIVES

  • To attend all meetings
  • To organize school presentations for each school in their region.
  • To host a meeting for all the school nsssa representatives in their region
  • To work with the Public Relations to promote the conference through schools
  • To perform any other duties as assigned by the  Cabinet.
  • To prepare a turnover package on their position before July 1st

PUBLIC RELATIONS

  • To compile the delegate manual
  • To publish the delegate manual for ALL participants at conference
  • To compile and find donations for the delegate bags
  • To assist conference co-chairs with the corporate package mail out
  • To publicize/advertise conference (press release)
  • To inform all school principals and advisors of participants registered within at least 2 weeks of the conference
  • To prepare a turnover package on their position before July 1st

SKILLBUILDING CO-CHAIRS (2)

  • To attend all meetings
  • To produce a skillbuilding application
  • To select appropriate skillbuilders from application
  • To write the skillbuilding manual
  • To publish the skillbuilding manual for all skillbuilders
  • To fully organize and oversee the skillbuilding retreat
  • To prepare a turnover package on their position before July 1st

WENDY

  • To attend all meetings
  • To CHEER at conference
  • Design a registration form for the conference talent show to be either mailed out with the conference package, or put in the delegate manual.
  • Organize, MC and backstage the variety show
  • To prepare a turnover package on their position before July 1st

WARM FUZZY/WELCOMING CHAIR

  • To attend all meetings
  • To obtain yarn donations and other supplies
  • To be responsible for all fuzzies being made BEFORE conference
  • To prepare a turnover package on their position before July 1st

FOOD CHAIR

  • To organize prepare the conference menu
  • To get donations for conference food
  • To work with 3-tions to ensure that all meals work safely with any dietary concerns
  • To cook food at conference/arrange the cooking of food

3-TIONS (3)

  • To attend all meetings
  • To design and distribute the registration forms
  • To assist conference co-premiers/co-chairs with mailing of conference package
  • To receive forms via e-mail and keep an up to date database of all participants

SECRETARY

  • To attend all meetings
  • To inform every member of the cabinet or committee of the upcoming meeting at least two weeks prior
