New Business:

Cabinet talked discussed the itinerary and made slight changes. Cabinet is still deciding on the number of skill building groups there will be and whether 4 small groups would be best or 2 larger groups.

The night before conference Cabinet usually stays at someone’s house who is close to the venue to make name tags, delegate bags and welcoming video.

Kids from Truro Junior High seem very interested in coming to our conference but have not yet gotten their forms in.

 

Co-Premiers: T-shirts may not be ready for conference and they might have to be delivered or mailed out to schools after.

3-Tions: The forms are in the database. We have a delegate with a peanut sensitivity and another with an egg allergy. Cabinet should label snacks that contain such.

SkillBuilding Chairs: The manual is ready to go and Zoe and Brady will get supplies themselves. Skillbuilding retreat will take place the morning of conference around 7:30ish. Skillbuilding chairs should send out the manual to skillbuilders.

Public Relations: PRs have been doing follow up calls, a lot of businesses are pretty promising. Some have not agreed to sponsor the Junior Event but may sponsor or donate to Regionals.

WENDY’s: Epic is finalized, and cabinet will have to help out with it on the day. The cheer bible is done and WENDYs should send it to the Skillbuilding Chairs to pass along to Skillbuilders. WENDY’s will get a cake for the winners of EPIC and maybe a chocolate bar if the group with the delegate with the egg allergy wins.

Head School Representatives: Emily has been reminding schools of the conference by email and pushed the form deadline to November 2nd in hopes to get more people.

Welcoming Chair: Kelsey has 70 fuzzies made. The delegate manual will be finalized soon and the Welcoming activity is ready. She will get candy for the pass the parcel.

Secretary: Clarissa will email Steve during the week to see if the hoodies are ready or not. If so, Emily has offered to pick them up since her mother is in Halifax often.

Regional Advisor: Linda had many forms with checks to give to Emily. The advisors so far are Beth’s dad, Linda’s husband and Jorja’s mom. She will get subway and board games for the advisors. She needs cups for the Keurig and coffee and tea. Parrsboro has been in contact with Linda wondering if their forms were received, which they were as confirmed by Emily.

New Business:

Delegate and Skillbuilding form on the website are incorrect.

 

Some Cabinet members are bringing snacks for the Junior Event. Beth is baking cookies, Jorja is bringing a variety of fruit, Brady is getting juice boxes and Clarissa will get granola bars.

 

Cabinet discussed the promotion of conference. They may use personal social media formats. The idea was brought up to create a Chig Instagram but it might need to be approved.

 

Co-Premiers: Beth and Jorja have a design and will order delegate shirts. They will also try to fix the website as soon as possible.

 

3-Tions: Emily has forms emailed to principals and all principals have received them. The database is done but there are no delegates due to the website mistake.

 

SkillBuilding Chairs: Skill building chairs have all activities and sessions done and are making the final touches. Brady shared copies of the manual with the Co-Premiers.

 

Public Relations: Zoe has the list of 30-40 places they have reached out to done, and Josh will add his list. PR has a list from Rebecca as well. They got a sponsorship from McDonalds. PRs will wait to promote Junior Event on twitter until the website gets fixed.

 

WENDY’s: WENDY’s can use gym equipment at Northumberland for the relay race for Epic. The talent show form is done and sent to the Welcoming chair to put in the delegate manual. A set list of cheers and costumes is in the process of being made.

 

Head School Representatives: One school wants a presentation and another school is on the edge. Lots of principles emailed questions back.  

 

Welcoming Chair: Kelsey has 60 fuzzies made. The welcoming activity is picked out and will be “Get to know me Bingo” and/or “Pass the Parcel”. Kelsey has extra activities if the activities are finished early. She drafted a packing list, welcoming email, and delegate manual.

 

Secretary: Clarissa ordered the cabinet hoodies.

New Business:

For Junior event, Zoe suggested a youth specialist from Relay for Life as a speaker but was unsure if they would be motivational or promote relay for life. NSSSA Alumni is still an option.

Regionals cannot be held at the Douglas street school in Truro because they will not do overnight. A Baptist church in Truro has not yet confirmed if it could be used as a venue but has not declined either. Co- premiers will try to book Friday evening and all day Saturday February 15 – 16 and that way conference won’t run into Sunday. Cabinet would like to have Heather MacDonald as a speaker for Regional conference as she was a previous Chignecto Co-premier, and is now an executive director at the Macphee Centre for Creative Learning in Dartmouth.

Still no cabinet bonding activity. Cabinet might end up just going for supper after a meeting.

Co-Premiers: Co-Premiers have contacted PR on Provincial cabinets to get a T-shirt design. Junior shirts will be royal blue and Regional shirts will be purple. Northumberland is booked for the Junior Event.

The idea of iron-on patches has been brought up by Metro cabinet. They could be put in delegate bags or be just for cabinet. There was also the idea that every region get their own patch. The patches don’t have a price quote yet. Cabinet decided that getting some for Junior Event seemed needless but will discuss more for Regionals.

Secretary: Spirit wear has been decided. The cost for the maroon hoodies will be around 50 dollars with tax included and Clarissa is in the process of collecting sizes and ordering. She has also working on a potential design for Regional shirts.

 

3-Tions: Emily wants to start emailing schools but didn’t hear back from Abe and the registration forms are ready and really need to be released.

 

SkillBuilding Chairs: The SkillBuilding Chairs have people that want to be skillbuilders and are working on the Skillbuilding manual. They will share when it is completed. Activities and Debrief questions are ready for Junior Event.

Public Relations: Public relations has made a spreadsheet of many businesses and has called the VPE Rebecca to check in. Josh has donation package from the previous year and will send it out soon. The password is not working for twitter and PR will get other passwords so they can begin to promote conference.

Superstores supposedly give 25 dollar gift cards so if Cabinet asks all Superstores in Chignecto they can collect a lot of money.

WENDY’s: WENDY’s have the talent show form made. For Epic they plan to do a relay race in the gym. They will soon discuss the cheer set list for Junior Event.

Welcoming Chair: Kelsey has been collecting yarn, and has begun making fuzzies. She currently has 42 made. She has been looking up welcoming activities has four narrowed down.

 

Regional Adv: Linda suggested that cabinet buy a Keurig for the cabinet rather than always trying to find a Keurig for the advisor’s coffee. She has three people from her school that want to be skillbuilders and maybe one or two more. Her husband looking as well.

New Business:
For the first meeting the cabinet introduced themselves and their positions. They reviewed basic cabinet rules and the 8 key concepts of NSSSA. Attendance at meetings is very important and cabinet members should try not miss more than 3 meetings.

In regards to cheque requisitions, supplies will be bought with cabinet members own money and they should opt for sale items and no name brands to save money. Cabinet should first ask around if any other cabinet members already have the items needed.

All emails and social media post related to NSSSA should be kept professional. Emails will be preferably sent during business hours and email signatures should look as follows
{Name, position(s), cabinet, Nova Scotia Secondary Schools Students Association (NSSSA), phone number, www.nsssa.ca, logo}

The cabinet plans for bi weekly meetings, mostly on sundays. When the majority of the cabinet is unavailable for a Sunday or Saturday, a group call will be planned for a weekday. The Truro Library seems to work out for most as a meeting location and some may be held in New Glasgow.

Cabinet has yet to pick date and time for a cabinet bonding activity. Some ideas where bowling, glow in the dark mini golf in Dartmouth, Get air, Camping, or something in Halifax. For spirit wear, Cabinet discussed hoodies or crew necks, but have not yet decided on a colour.

Zoe motioned for the conference names to be “Infinity” and “Beyond”. Kelsey seconded the motion. Junior conference will be held at Northumberland Regional High School on Saturday, November 3rd  2018. Regional conference will be sometime in February. Potential locations are Douglas street school in Truro, the church hall from last year and the Knox United Church in Brookfield. Potential speakers are Sean Fraser, and the girl from Truro who was a past member of NSSSA.

Co-Premiers: Beth is going to check if we are allowed to get spirit wear from somewhere else besides First Choice Sportswear.

Public Relations: The PR’s got a 15 dollar gift card from Sobeys, 100 dollars and some promotional items from Wilson’s home heating. The delegate manual is being worked on.

 

WENDY’s: The WENDY’s got a cake donated. EPIC is finished, everyone needs to help with it. Some presentations were done, the talent show form has been completed and Jorja talked to the Town of Truro about donations.

 

Head School Reps: The Head School Rep sent out a reminder email of forms being due and of conference coming up.

 

Welcoming Chairs: The welcoming chair is working on fuzzies and is finishing up the welcoming email.

 

Co-Premiers: The co-premiers are working with everyone to finish up tasks and are finishing up the budget. They had a check in with the Vice President Internal.

 

New Business:

 

T-Shirts could not be ordered in time for conference due to us not having our final numbers of attendees yet. Cabinet decided to go ahead with ordering the shirts, and send them to the schools after conference so delegates still receive a momentum from the event.

 

The douglas street school is an option for a regional conference venue, and we will inquire the

Town of Truro about the possibility of hosting the conference there.

 

Students will be asked to provide a lunch because we were not successful in getting food donated for lunch. We will be providing snacks.

 

We put together a panel of alumni for the event, consisting of alumni members in our cabinet. Regional cabinet will be asking questions as junior high students may not.

 

All cabinet members feel they are on the right track to being ready for our junior event.

3-Tions: There was an error on delegate and skillbuilder forms which has been resolved. They are waiting on the forms to start coming in so they can update the database.

 

Skill Building Chair: The Skill Building Co-Chairs have completed the skillbuilding as well as the questions that go along with them. The manual should be done by next week.

 

Public Relations: Public Relations have gone to ¼ of the businesses on their lists, got a $15.00 gift card from a Sobeys in Truro, is getting 40-50 pens from NSCC, collected 50 various items from Scotiabank, waiting on a call from Dalhousie Agriculture, and a database has been created.

 

WENDY’s: Wendy’s have been studying their cheer bibles and are picking a list of cheers tonight. For epic, they decided to do a scavenger hunt, and is now trying to pick a story for an epic skit.

 

Head School Reps: Head School Reps did a presentation at Thorburn. The grade 9’s at NRHS are going to be talked to along with North Nova who is starting their student leadership group this week and plan to fit NSSSA in to present.

 

Welcoming Co-Chairs: The Welcoming Co-Chairs picked fuzzies, walk the line and speed dating for welcoming activities.

 

Co-Premiers: The budget has been completed and sent to the Presidential trio. A venue for Juniors has been confirmed at NRHS. Steve has been emailed about shirts and sent the logo. Tyler has been assisted about presentations and everyone has been kept in touch with. The plans are to present at most Chignecto schools, and they couldn’t get the alumni speaker they originally asked to come. A venue has not been found for Regionals yet.

 

Regional Advisor: There will be an NSSSA assembly at Springhill Junior-Senior High School on October 24th, at 2:15pm.

New Business:

A possible venue for regionals is Stella Maris, a church which has many rooms, a stage and has a kitchen. Father Ron McDonald needs to be talked to.

 

Shirts:

The junior shirts will be a lime or forest green, there is a logo picked but the search is being continued for other ones. Megan picked a logo and painted it.

 

The regional shirts may be blue.

Junior Accommodations:
Brennan will be checking with his parents if his home can be used for accommodations for the night before Juniors. Everyone should be there at 8/8:30 if so.

 

What now?

More donations need to be collected, food needs to be gathered, yarn donations for fuzzies, watching for forms, and Brennan will talk to McDonald’s for juice.

Conference call is on October 29th, at 7:30 pm.

 

The next meeting is in Amherst,12-3 pm, and is on November 5th.

Once the presentation is finalized, we all should take it our school and/or surrounding schools in order to help Tyler out. If you happen to present at your school, be sure to tell Tyler, Maddie and Emma.

Welcoming Co-Chairs: Tyler needs yarn donations for fuzzies, if you can help out by finding some and giving it to him, that would be great.

 

Co-Premiers: The itinerary was changed due to the fact that the skillbuilding session was too short. Emma and Maddie shared information they learned at the Provincial Cabinet meeting. There are issues with fire marshals in other regions so we aren’t the only ones having issues searching for a place for regionals. They decided it would be best to have an alumni as a speaker for the junior conference. T-shirts are being bought for Junior conference.

 

Regional Advisor: Working on finding presentation information with the principals. The principals would like an email on NSSSA and what we do.

 

New Business: Everyone needs to start looking into locations for Regionals, the Co-premiers have a few ideas but they need a definite choice.

 

The cabinet needs to take donation forms and take them to places.

 

Junior Conference is at NRHS from 9-5:30, bring your own lunch event and snacks will be provided.

 

Be sure to continue working and speaking with your partner in order to keep good communication.

 

We will be getting our brochures again as well as maybe flyers for our school to promote Juniors and Regionals.

 

The forms will come out as soon as they are finalized and our venue is in order.

WENDY’s: The WENDY’s have started to plan EPIC.

Co-Premiers: The Co-Premiers have a rough draft of an Itinerary for Junior Conference. They have met with Ms. Suo, the advisor to bring her up to speed with the meetings. They are still in search of a venue for regionals that is within budget, had a check in with Amy, and checked in with most of the Chignecto Committee.

School presentations need to be organized and start happening, especially with this month as it isn’t quite as busy. All Committee members should look to present at their own schools or go to at least one other school that is not their own.

Regional Advisor: Linda is going to set up a meeting with the people she works with or the school board and the region’s principals to explain what NSSSA is to get more students involved.

Skill Building Co-Chairs: The Skill Building Co-Chairs have wrote down the 8 key concepts for the Skill Building Manual and are waiting on examples of previous Skill Builder manuals.

Welcoming Co-Chairs: The Welcoming Co-Chair has started searching for yarn.

Co-Premiers: The Co-Premiers have gone to the Provincial Cabinet retreat, did the timelines for each position and have started to look for venues.

Spirit Wear – The idea for Spirit Wear is to have black and white writing, and for sweaters to put Moo on the back of them.

Getting started for Junior Conference – The plan is for each position to start keeping an update on their timelines and to notify Emma and Maddie of updates.

Brainstorming Speakers – Each position should help look for low-cost speakers.

Forms – Forms should be completed soon and sent to Emma and Maddie as soon as you can.

Donations – If anyone on cabinet whose boss is interested in donating, can donate or get the donation letter from the public relations.

Junior Conference – Junior Conference will be on November 18th, most likely at NRHS from 9:00 am to 5:30 pm.

Regional Conference will be from February 17th to the 18th.

The next meeting is taking place September 10th, 2017 in Truro at 3pm,

Posters – Posters/fliers may be considered being put up in schools to promote NSSSA and their conferences.
