Co-Premiers: The Regional Conference date has been moved to April 27th and 28th due to conflict with school availability.

 

Advisor: The Regional Conference has been insured.

 

Skillbuilding Co-Chairs: The skillbuilding manual will be completed within the next few weeks. There are six skillbuilders so far. March 17th is a tentative date for the skillbuilding retreat.

 

3-tions: The forms have been updated and sent to the website. The database for the upcoming event has been made and shared.

 

Head School Representatives: Emails will be sent out within the next couple of days to some of the schools. There will be presentations at FHCS within the next two weeks.

 

Welcoming Co-Chairs: The welcoming email has been drafted. Fuzzies need to be made.

Co-Premiers: The Regional Conference date has been moved to March 2nd and 3rd due to low numbers.

 

Advisor: The Regional Conference has been insured.

 

Skillbuilding Co-Chairs: The skillbuilding retreat will now be held on the 24th of February.

 

3-tions: The new deadline for forms will be February 21st. The refund deadline is February 26th.

 

Public Relations: A video should be made to advertise the Regional Conference. The keynote speaker has been confirmed and an email has been sent out asking if they can attend the new conference date.

 

Head School Representatives: Head School Representatives have been doing lots of presentations and advertising! As many presentations as possible are needed!

 

Secretary: The year on the Regional Conference t-shirts should be changed to just ‘2019’ if possible.

 

New Business

 

Regional Conference: The date of the conference has been moved to March 2nd and 3rd. Since most of the positions have completed their required tasks, each member should work on promoting the conference in their school! Especially in January and February, members should spread the word of the Sou’West conference, look for chaperones for their school, talk to their principals about the conference, and help out the Head School Representatives as much as they can.

 

Fundraising: Into the new year, the cabinet will look into doing a fundraiser for the Provincial conference.

Skillbuilding Co-Chairs: Skillbuilding sessions have been brainstormed. The skillbuilding retreat is next Sunday (WENDYs will be there to discuss EPIC with the skillbuilders!).

 

WENDYs: EPIC has been planned, as well as the talent show. A late night game must be planned.

 

3-tions: All forms have been made and sent out. A database has also been made and shared.

 

Public Relations: An email has been sent out to a possible keynote speaker.

 

Welcoming Co-Chairs: Yarn has been collected (there are lots of fuzzies left over from the Junior Event), but more yarn is still needed. The welcoming email has been retyped with the correct school and is ready to be sent. A packing list has been made. Welcoming Co-Chairs are planning games. The questions for the delegate manual will be the same as they were for the Junior Event manual (with one taken out to shorten it!).

 

Head School Representatives: Schools have been divided up into regions and the Head School Representatives have started contacting schools and handing out forms. A few presentations have been made and have gone really well!

 

Secretary: Both the cabinet wear order and the conference t-shirt order have been sent out.

 

Food Co-Chair: The food manual has been made and will be edited appropriately when all the forms are in. The budget is being made. Most of the food will be purchased this Friday.

 

New Business

 

Decorations: There will be a flame theme at the Regional Conference. A photobooth will be made to match the theme.

 

Dance: Student council at Digby Regional High School has speakers for the dance as well as a “DJ” light system.

 

Regional Conference: A Kahoot needs to be made, so cabinet members should send in any ideas they have! All members should be at DRHS on the Friday before the conference!

Co-Premiers: Co-Premiers have dealt with forms and money. The budget is doing well!

 

Skillbuilding Co-Chairs: The retreat went really well, with almost all skillbuilders present. All skillbuilders have rides to the Junior Event. Skillbuilding Co-Chairs must figure out the skillbuilding groups, as well as come up with creative names for the groups.

 

WENDYs: Most props for games have been collected and WENDYs have access to the Digby student councils’ props. The games for EPIC were reviewed.

 

3-tions: All the forms have been collected. There are between 30 and 40 delegates for the Junior Event.

 

Public Relations: Pictures of the skillbuilding retreat have been taken. Public Relations is working on updating the slideshow for the Head School Representatives. More businesses have been added to the list of possible sponsors and any cabinet members with access to possible sponsorships should email Public Relations!

 

Welcoming Co-Chairs: Libby has some fuzzies left over from last year, but more will need to be made. Yarn has been collected. Almost all cabinet members’ questions and answers have been sent to Public Relations. The welcoming email is in progress and will be done soon.

 

Head School Representatives: Presentations at Forest Heights and New Ross went well, with lots of interest. Head School Representatives must send Public Relations any previous school presentations.

 

Secretary: Both cabinet wear and conference t-shirts have been ordered and will be picked up on Tuesday. Prices for the jackets will be looked into soon.

 

Food Co-Chair: Some snacks have been purchased. Other supplies and food will be bought throughout the week.

 

New Business

 

Regional Conference: Games and fundraising ideas were discussed for the Regional Conference.

 

Junior Event: Decorations were discussed such as streamers, fake torches and a fake campfire (corresponding with the theme ‘Spark’). All cabinet members must be at New Ross Consolidated School 09:00 on Saturday. Skillbuilders should be there around 10:00. Rides have been taken care of.

Co-Premiers: The Junior Event will be held at New Ross Consolidated School.

 

Skillbuilding Co-Chairs: Questions for the skillbuilding forms were made. The format for each skillbuilding session has been outlined, but the activities have not been included yet. Skillbuilding Co-Chairs have the list of activities. A reminder that the skillbuilding retreat will be held before the meeting on the 14th of October.

 

WENDYs: The games for EPIC have been planned and props are beginning to be collected.

Public Relations: The Facebook page and Twitter have been updated. A list of businesses who will most likely donate has been made, but the focus will be on getting donations for the Senior Conference, not the Junior Event.

 

Welcoming Co-Chairs: An email was sent out with questions for the cabinet members to

answer for the delegate manual. More yarn is needed.

 

Head School Representatives: The Head School Reps have emailed schools about the Junior Event and are working on setting up presentations to promote the events in schools.

 

Secretary: The quote for cabinet wear has been sent out to all cabinet members and it will be ordered by October 3rd. The deadline for payment is October 2nd, so all members must pay by then if they want a long sleeve shirt!

 

Food Co-Chair: Donation letters have been sent to the Chester Foodland and Independent Grocer. There are three big camping jugs for water, along with a fourth small one. A grocery list has been made and will be looked into this week for the best prices.

 

New Business

 

Junior Event: The schedule for the Junior Event was reviewed. Cabinet members must be there for 9:00 and the delegates will start arriving at 11:00. Some ideas for activities were discussed. The scavenger hunt was discussed and planned.

 

Meetings: It was reminded that cabinet members must give 24 hours notice if they cannot come to a meeting.

Co-Premiers: The date of the Junior Conference must be changed due to a conflict with timing. An email with deadlines will be sent out, with the times adapting to the new date of the Junior Conference.

 

Skillbuilding Co-Chairs: An outline of the skillbuilding manual has been made, as well as the outline of the skillbuilding retreat. The date of the skillbuilding retreat is October 14th from 12:30 to 15:00. The skillbuilding sessions at Junior Conference have also been discussed and the focus for each session has been decided. The Skillbuilding Co-Chairs must think of creative names for each skillbuilding group, relating to the theme of the conference. The Skillbuilding Co-Chairs must also create questions for the skillbuilding manuals and send them to the 3-Tions as soon as possible.

 

WENDYs: Some costumes for the talent show have been found. WENDYs need to get the list of NSSSA cheers, which the co-premiers will look into finding. WENDYs also need to start looking into games for EPIC and create a talent show sign up list.

 

3-tions: All forms have to be made and sent to be put on the website by September 17th. Junior Conference forms, including delegate, advisor, alumni and skillbuilder forms are due on October 2nd. The final refund date for Junior Conference is October 12th. Skillbuilding Co-Chairs will send the questions for the skillbuilding forms as soon as possible.

 

Public Relations: Sponsorships and donations were looked into. Public Relations should contact Amber White to get information on last years’ sponsorships. The donation letter must be written and sent out by September 21st. The Welcoming Co-Chairs will send photos of cabinet members and the cabinet members’ answers to the delegate manual questions as soon as possible.

 

Welcoming Co-Chairs: The Junior Conference welcoming email must be drafted and sent to the Co-Premiers by September 20th. Emails need to be sent to the Sou’West cabinet asking for a photo of each member and answers to questions for the delegate manual. This information will then need to be given to Public Relations. More yarn is needed to make fuzzies.

 

Head School Representatives: The Head School Representatives have checked in with Amber. Schools need to be divided up in each representatives’ area and an email needs to be drafted to be sent to schools once the Junior Event forms are up on the NSSSA website.

 

Secretary: An email has been sent to First Choice Sportswear about quotes for both conference and cabinet wear. The shirt order must go out October 3rd at the latest.

 

Food Co-Chair: Donations for apples and granola bars are needed. All receipts must be saved. Water was discussed and many cabinet members have camping jugs that they can bring in. More than one is needed.

 

New Business

 

Junior Conference: The new date of the junior conference was discussed. It was decided that the conference will now be held on October 20th. The cabinet also discussed whether or not to have speakers at the junior conference. It was decided that there would be speakers and this will be looked into further. The cabinet decided on orange t-shirts with a white logo for the Junior Conference (Senior Conference t-shirts will be white with an orange logo). The cost of the junior conference will be $35.

 

Conference Names: Conference names were further discussed and decided upon. A unanimous vote chose “Spark” as the name of the junior conference and “Ignite” as the name of the senior conference. Natalie has offered to design a logo for the conference t-shirts in accordance with the names.

 

Location: The location of the Junior Conference has yet to be decided. This will be decided by Thursday, September 13th. Emails are currently being sent out to schools.

 

Meeting Changes: The original meeting of October 7th, will now be held on October 14th from 15:00 to 17:00 in the Digby Arena. This will be the last meeting before the Junior Event. The date for the meeting on October 21st has also changed and will now be held directly after the Junior Event on October 20th.

 

Skillbuilding Retreat: The skillbuilding retreat will be held before the October 14th meeting. It will be from 12:30 to 15:00 in the Digby Arena.

 

Budget: The budget has been discussed and decided upon.

Co-Premiers: The attendance, email, voting and social media rules were all reviewed. Positions were told of the tasks they needed to complete. Deadlines for these tasks will be sent out by the beginning of next week.

 

Skillbuilding Co-Chairs: Skillbuilding Co-Chairs need to create the skillbuilding manuals and create skillbuilding applications to gather skillbuilders. The skillbuilding retreat will be held one to two hours before a future cabinet meeting. This retreat room should be booked before skillbuilder applications are sent out.

 

WENDYs: WENDYs must begin to plan both E.P.I.C and the dance. E.P.I.C prizes must be agreed upon. Public Relations may be able to get some merchandise from businesses as prizes. The dance is a big highlight of the conference so good speakers and lights are necessary. Location was discussed and both DRHS and NGRHS have great dance setups. WENDYs must also look into finding costumes for the talent show. Libby and Amber have a few costumes. WENDYs must also memorize the cheer bible!

 

3-tions: Permission forms must be created and sent to the Co-Premiers. Amber has templates to use as a guide.

 

Public Relations: Public Relations must begin creating a donation letter to be approved by the Co-Premiers. The Welcoming Co-Chairs must send cabinet members pictures and questions to Public Relations for the delegate manuals. Public Relations should also look into acquiring Université Sainte-Anne delegate bags. Public Relations must take pictures and make promotional videos.

 

Welcoming Co-Chairs: Welcoming Co-Chairs need to find more yarn to make fuzzies with. There is some leftover yarn from last year but more will be needed. Look for yarn donations from family, craft stores, etc. Other members of cabinet can contribute! Welcoming Co-Chairs must also create the packing list and start brainstorming icebreaker games that will not make delegates feel uncomfortable. Creating a welcoming video for the senior conference was discussed.

 

Head School Representatives: Head School Representatives must check their email and read through the Head School Rep manual. Head School Reps should also look over the school contacts list.

 

Secretary: Secretary must send out clothing measurements before ordering in case any member would like to choose a different size. When ordering, clothing screen printing is less expensive than embroidery.

 

Food Co-Chair: The Food Co-Chair must brainstorm ideas for both conferences and have a grocery list ready by September 20th.

 

New Business

 

Conferences: The cabinet discussed whether or not to hold a junior (grades 7 to 9) conference along with the usual senior conference. Natalie motioned for a junior conference. Tate seconded this motion. The motion passed unanimously and Sou’West will be holding both a junior and a senior conference. Ideas were tossed around as to the location of the senior conference, such as Digby Regional High School, Forest Heights and Parkview. DRHS was a popular opinion but there has been issues in the past with being charged a fee and it was decided that members will contact their school to get a better idea of the best option. Bridgewater Junior High School was discussed as a possible location for the junior event.

 

Conference Themes: Many possible themes were discussed including P.O.W.E.R.M.O.V.E (Providing Opportunities With Every Reality in Mind Open Heartedly and Virtuously to Engage), S.H.E.B.A.N.G (Selfless Heroes Engaging Brave Adolescents Noble Growth), a gaming theme and Matter (junior conference)/Energy (senior conference). This discussion will continue next meeting and the cabinet should come prepared with ideas!

 

Conference Dates: Provincial cabinet has suggested dates for both junior and senior Sou’West conferences: October 27th for junior and December 1st and 2nd for senior. There will be an overnight event for the Sou’West Regional Cabinet before the senior conference.

 

Cabinet Wear: This year’s cabinet wear was discussed. A vote for crew necks or jackets was held with 12 people voting for jackets and 3 voting for crew necks. The price for the jackets will be around $60 which the cabinet agreed on. Red jackets with a white logo will be ordered for the senior conference and white long sleeved shirts with a red logo will be ordered for the junior conference.

 

Highlights: Cabinet members MUST cc (carbon copy) their partner, the Co-Premiers and the advisor when sending important emails.

Co-Premiers:  Hannah D’eon has resigned from the Sou’West Regional Cabinet, Court has taken over the role as the Yarmouth Head School Representative. The presentations for Drumlin Heights, Ecole Secondaire de Par-en-Bas and Barrington have been scheduled for September 25th with the presentations for Maple Grove and Yarmouth Consolidated being September 27th. While visiting at Ecole Secondaire de Par-en- Bas and Barrington Municipal High School contracts must be signed to secure the event/ conference locations. Our Co-Premiers have rethought having a guest speaker at Light Up Leadership ‘17. We will now be having Elizabeth Wight from Digby Regional High School speak. The logo for the Junior Event has been finalized and two designs for the Senior Conference logo have been created. A final decision for the Senior one has yet to be decided.

Welcoming Co-Chairs:  The Regional Cabinet introductions have been completed with the exception of the Alumni. The Co-Chairs have decided against a welcoming video for the Junior Event. Many people have been contacted about donating yarn for the warm fuzzies. Junior Event packing list has been created but needs to be finalized before being sent out.

Public Relations:  Delegate manuals have been started, the only things left to be added are the cheers, covers page and the itinerary. Delegate bags must be found as there are not enough for the amount of participants anticipated. The brochures are now ready to print off and send out to schools as a promotional tool. Donation letters have been handed out in the Digby area with one having responded already. Letters need to be sent to Tate to hand out to businesses in the Bridgewater area.

Skillbuilding Co-Chairs:  The first session has been completed and brainstorming for the second one has begun. Session two will be finalized by September 30th. Jarrett and Libby are also preparing for the skillbuilding retreat on October 22nd.

3-tions:  All positional tasks have been completed. The database is ready for information to be entered once the delegate forms start coming in.

WENDY’S:  A list of games for E.P.I.C has been created. Once the amount of skillbuilding groups has been completed the amount of activities will be finalized. The story line for E.P.I.C has been written. The final thing that must be done is research on lighthouse names for each skillbuilding group.

Head School Reps:  More emails must be sent out to the schools that have not responded about presentations. Two presentations have been done with around 6 more scheduled.

Secretary: Cabinet wear has been chosen, Sou’ West will be getting navy crew neck sweaters. Emails have been sent out to Steve inquiring prices for the sweaters. Hailey Farnsworth motioned to have nick names embroidered on the sleeve. Brock Emin seconded this motion.   With the vote being 10 for and 2 against, nicknames will be on the cabinet sweaters. The colour and design for the Junior Event tees has been decided and a quote for them has also been received. The order must be placed by October 10th.

Food Co-Chair: Our Food Co-Chairs must work on finding snack donations for the Junior Event. All other positional tasks have been completed.

Updates:

Co-Premiers:  Our Co-Premiers have been working with Alex Leblanc to finalize the logo for the Junior

Event. It was also discussed and decided that it is not necessary to have a speaker for

Light Up Leadership ‘17.The most important thing to note is that the date for the Junior Event

has been changed. The event has been moved to Sunday, October 29th due to the fact that

there is an NSTU conference being held that Friday and finding chaperones would be too

difficult if the event was on the 28th. The event has been moved to

Welcoming Co-Chairs: Zoe and Adam have gone through sample packing lists and will be finalizing the

 one for Light Up Leadership ‘17 before the next meeting. They have also

discussed the RC introduction questions for the delegate manual and sent the email out to all

Regional Cabinet Members. They will also be creating a facebook ad to collect yarn to make

fuzzies.

Public Relations: The donation letters have been started and are almost ready to be sent out, there just

needs to be a few minor adjustments made. The list of businesses has been created

they just need to add the list that Tate and Amy have made of businesses around Bridgewater.

They will be in contact with all businesses this month for donations. Finally they are waiting on

the layout for pamphlets to use as a promotional tool.

Skillbuilding Co-Chairs: All old manuals have been received from the previous Skillbuilding Co-Chairs and

the application questions have been approved by the Co-Premiers. The next

tasks for these Co-Chairs is to create a list of lighthouses in Nova Scotia to use for skillbuilding

group names and create the first skill building session by September 26th.

3-tions: All forms have been completed and approved by the Co-Premiers. They are being sent out

September 11th.

Wendys: The Passover package containing the cheer bible and previous E.P.I.C plans has been received,

brainstorming for the Junior Event has begun. A list of any supplies needed for

the event must be made as soon as possible.

Head School Reps: Emails concerning individual school representatives have been sent out and multiple

have responded back. Meetings with these representatives are currently being

planned in order to give them any information they may need when promoting the Junior Event.

Basic layouts for posters, emails and other promotional tools have been started. Emails

regarding presentations at schools are due by Wednesday, September 13th.

Secretary: A poll for Regional Cabinet wear has been created on the Facebook group page. With the

options being narrowed down a quote must be found by September 23 so all members can

bring money to the next meeting and the order will be submitted.

Food Co-Chairs: It has been decided that all delegates will be asked to bring a packed lunch to the Junior

Event however, snacks and treat bags will be provided. The snacks will consist of

apples, oranges, welches and granola bars while the treat bags will be made of Halloween

goodies. The Co-chairs will be sending out donation letters asking for the snacks wanted.

Fundraising: A fundraising list has been sent to the Head School Reps that can be used for raising funds to

help send delegates to provincials. Makayla has also drawn up a list of

many ideas that may work for that aswell.

Updates:

Co-Premiers: The timeline has been made for everything from the Junior Event and Senior Conference to prep for Inclusion and Provincials. The Junior Event date has been set for Saturday, October 28th, 11am to 5pm at Barrington Municipal High School. Senior Conference date has been set for Saturday, December 9th to Sunday, December 10th. The location has yet to be decided but emails have been sent out to possible host schools. These dates have been chosen due to the fact that there would be less obstacles to plan around. The Co-Premiers have also made timelines for all positions in order to have the Junior Event turn out a success.

 

Welcoming Co-Chairs: The Welcoming Co-Chairs have been given until October 21 to complete all of the fuzzies and have the welcoming activities decided. Zoe and Adam have also been given the choice to create videos, one that will accompany the packing list and one that will introduce the Regional Cabinet. Contacts have been discussed that may help with the creation of both videos if it is decided to do them.

 

Public Relations: Donation letters must be written and approved by the Co-Premiers by September 5th. Amber and Emma have been asked to work closely with the Food Co-Chairs to see what will be donated and what will need to be purchased. Amber brought up creating a snapchat filter for both Junior Event and Senior Conference, contacts that may be valuable for this were then discussed.

 

Skillbuilding Co-Chairs: Many deadlines were given to the Skillbuilding Co-Chairs. The timeline they were given is as followed. September 1st – all questions that are to be on the skill building application must be sent to the Co-Premiers and 3-tions. All skillbuilders must be selected by October 10th and confirmed by the Co-Premiers with the acceptance emails being sent out on the 11th. The Skill building Retreat will be held on October 22nd from 1pm to 3pm in the upstairs offices at the Digby Arena. Skill building session number one must be complete by September 26th, session number two being completed on September 30th and finally session number three being completed by October 3rd. The entire manual is to be completed by October 10th and sent to the Co-Premiers for editing.

 

3-tions: Permission forms must be created, confirmed by Co-Premiers and sent out for delegates by September 5th.

 

Wendys: First task that was given to our Sou’West Wendys was to memorize the cheer bible. They were then asked to come up with their plans for E.P.I.C and be ready to share them on October 22nd at the Skill Building Retreat. The 22nd should be the last day they need to finalize any costumes, props and materials needed for the Junior Event on the 28th.

 

Head School Reps: This year Sou’West Regional Cabinet has elected to have 3 Head School Representatives. In our area there are 28 schools containing grades 7-9 and 19 schools holding grades 9-12. Between the three HSR, the schools have been divided among them. Their first deadline is September 4th which is when a draft email about presentations to the schools must be finished. Their second deadline is September 10th which is when their presentation for the schools should be made.      

 

Secretary: Ideas for spirit wear must be looked into and brought back to the cabinet. Sweaters being the main want for the cabinet members.

 

Food Co-Chairs: The idea to have delegates bring a packed lunch to the Junior Event was talked about briefly, if this were to be the case the registration cost could potentially be lowered for all delegates. Letters will also be taken to businesses asking for food donations, these will come from the Public Relations Co-Chairs.

 

New Business:

Theme: While discussing the theme for both Junior Event and Senior Conference, the main concern was keeping a professional name that will be okay to present to potential donors. The ideas that were tossed around included, “Light Up Leadership” (Junior Event), “Sea the Change” (Senior Conference), W.A.V.E –  Welcoming Adolescents Via Empowerment and also F.O.L.L.O.W – Finding Our Leaders, Leading Optimistic Wanderers. After discussions about all of the topics Hailey made the motion to make our Junior Event Light Up Leadership and our Senior Conference to be Sea the Change. Emily seconded this motion. With the vote being unanimous, the Junior Event will be called Light Up Leadership with the Senior Conference being called Sea the Change.

 

Keynote Speakers: Some names of potential keynote speakers were discussed but no firm decisions were made. The Co-Premiers will contact some of the options and get back to the rest of cabinet.

 

Fundraising: Where both Sou’West events are happening early in the school year, fundraising for Provincial Conference was considered after Christmas. The idea was that Regional Cabinet would hold a fundraiser such as bagging groceries and use the money to assist in sending delegates to provincials. The Co-Premiers will work on contacting Sobeys to see what dates would be available.
